You can add an image to a letter, email or document, for example your logo, a signature, a photo or a poster. This works in every template with the layout 'Rich text'.

Never paste an image straight into the template (copy and paste). The image is then stored inside the text itself. That makes an email so large that some email programs, such as Gmail, cut it off, and the client does not see the image or the rest of the text. Always add the image as described below.

Step 1: check whether the image is already in Fuga

For several common images you do not need to upload anything. Fuga has placeholders for them: you choose the placeholder in the template, and Fuga fills in the right image in every document or email.

  • Your practice logo: choose 'Placeholder practice logo'. Fuga uses the logo uploaded under Configuration => Practice preferences => Documents tab, at 'Header and footer'.
  • A signature: choose 'Placeholder signature'. Fuga uses the signature of the user who creates the document. Each user uploads their own signature via My preferences => General => Signature.
  • Animal or client data: 'Placeholder photo animal', 'Placeholder photo client', 'Placeholder barcode animal', 'Placeholder barcode client' and 'Placeholder weightcurve animal'.
  • Other: 'Placeholder Fuga Share QR code'.
  • Clinical drawings, only in a template with Target/context Consultation: 'Placeholder dental dog', 'Placeholder dental cat', 'Placeholder dental horse', 'Placeholder dental rabbit', 'Placeholder dermato', 'Placeholder ophtalmo' and a neurological drawing.
  • An image that was uploaded before, for example a poster or a signature for all documents: check whether it is already in Docu centre => Practice files.

If the image you need is in this list, go straight to step 3. If not, upload it first as described in step 2.

Step 2: upload a new image to the practice files

  1. Go to Docu centre => Practice files.
  2. Click + and upload the image.

Use a .jpg, .png or .gif file. Other files, such as .webp (often the case for images saved from a website), Word or PDF files, do not appear in the list in step 3. Convert them to .png or .jpg first.

Step 3: insert the image into the template

  1. Open the template you want to adjust: go to Configuration, choose 'Template' in the search bar, look up the template and click the pencil. A standard Fuga template cannot be edited. Make your own version of it first, as explained in How can I personalise a standard letter, email or document? Would you rather create a new template? Use Configuration => Add template.
  2. Set 'Layout' to 'Rich text'. The toolbar with the image button only appears in this layout. If an existing template was set to 'Basic', read the section below first: more changes than just the toolbar.
  3. Place the cursor where the image should go and click the 'Insert/edit image' button in the toolbar.
  4. Click the 'Image list' dropdown (it shows 'None') and choose a placeholder from step 1 or your own image. Files from the practice files start with PRACTICE_, for example PRACTICE_logo.png. Leave the 'Source' field empty: it is filled in automatically.
  5. Adjust the size under 'Dimensions' if needed and click Ok.
  6. Save the template.

Switching an existing template from 'Basic' to 'Rich text'

As soon as you set 'Layout' to 'Rich text', the template looks different:

  • The text stays, but the line breaks and blank lines disappear. All text ends up in one block. Put the line breaks back with Enter.
  • For a letter, the fields 'Title', 'Top left' and 'Top right' disappear. They often hold the client's address ($clientPrettyBeginning$, $clientStreetAndNumber$, $clientZip$ $clientCity$ ...). Move that content into the 'Content' field, for example at the top in a table with two columns ('Table' button in the toolbar).

So copy the content of 'Title', 'Top left' and 'Top right' first, before you change the layout. As long as you do not click Save, the template stays unchanged. Want to keep the old version? Clone the template first and work in the copy.

After saving, create a test document or test email for one client and check that everything is in the right place, before you use the template again for all your clients.

The image does not appear in the Image list

  • The file is not a .jpg, .png or .gif file (for example .webp, Word or PDF). Convert it and upload it again.
  • The file was uploaded to a client, animal or consultation instead of to the practice files. Upload it via Docu centre => Practice files.
  • The template has the layout 'Basic'. Switch to 'Rich text'.
