To send e-mails from Fuga we work with Mailgun, a company specialised in sending large volumes of e-mail. This keeps fewer mails from ending up in spam filters. Sonetas pays for this; the costs are not passed on to the practice.

Mails are sent from a Fuga address of your practice (for example info@yourpractice.fuga.eu). When a client replies to a mail, the reply goes to your practice's e-mail address.

Checking which mails were sent and delivered

Go to Analyse => Reports => Show all reports => Communication => Sent e-mails via Mailgun.

  • By default "Failed only" is ticked. The report then only shows mails that had a problem.
  • The report shows the mails of the last 30 days.
  • To check whether a specific client received your mail, enter their e-mail address in "To (email)" and untick "Failed only". Mailgun creates a separate line for each attempt. If a mail could not be delivered at first, Mailgun tries again later. With "Failed only" ticked you only see the failed attempt, not the later line where the mail was delivered after all.

Delivered does not mean it is in the inbox

"Delivered" means the mail arrived in the recipient's mailbox (Gmail, Outlook, ...). Fuga cannot see what happens after that: the mailbox can still move the mail to the spam folder or filter it out. You can read more in Pet owners don't receive Fuga e-mails.

Blocked e-mail addresses

If a mail could not be delivered (for example the address does not exist or the mailbox is full), or the recipient marked your mail as spam, that address is blocked for future mails. In the Suppressed e-mail addresses report you can see which addresses are blocked and why, and unblock them. See this article.

Keeping a copy of sent mails

If you want to keep a copy, you can put the practice in cc for certain mails. You set this in Settings => Practice preferences => E-mail & SMS.

Which mails does Fuga send automatically?

Besides the mails you send yourself, Fuga can also send mails without anyone clicking send:

  • Treatment reminders (vaccinations and product treatments). You switch them on per channel in Settings => Practice preferences => Treatment Reminders: Automatic via mail, Automatic via MyPets and Automatic via sms. These three work independently. A client receives a mail when "Reminder treatment" is set to E-mail on their record and they have a valid e-mail address, also when they don't use myPets. If they also use myPets, they get a myPets message as well. More info: Automatically sending treatment reminders.
  • Appointment confirmations and reminders, by e-mail or SMS depending on the client's preference. See Appointment confirmations and reminders.
  • The welcome e-mail a client receives when their e-mail address is added.
  • The satisfaction e-mail after an invoiced consultation (Communication after Consultation), if you have set it up.
  • The mail after the euthanasia of an animal, if you have set it up.

SMS: the most reliable channel for reminders

Do you read all your e-mails every day? Probably not. But do you read all your text messages? An SMS almost always arrives and never ends up in a spam folder. For appointment and treatment reminders we therefore recommend Fuga SMS. More info: Fuga SMS - Sending SMS via Sonetas.
