The Advanced search under the Consultation tab allows you to find something or someone very specifically. If you set the mode to 'New', you can search a subset of your clients, animals, consultations, contacts or consultation rooms. You can also save this search to reuse it later in Fuga. You can look up that saved search afterwards by changing the mode to 'Saved search'. It is not possible to change a saved search.

When you create a new search, you see a number of boxes in which you can define the selection criteria. Here you can choose a field in which to set a condition, or choose one of the items 'AND', 'OR', '(', ')'. If you select a field name here, two new boxes appear next to this box. The idea is to compose a series of selection criteria that, as a result, give you what you are looking for.

In the first box you choose a logical operator, namely:

  • = (is equal to) — Note: only when the search term exactly matches the data in the tables will this give a result. That is why it is better to use 'like' as a logical operator (see below).
  • != (is not equal to)
  • < (less than) — In the case of a date, this refers to an earlier date.
  • <= (less than or equal to)
  • > (greater than) — In the case of a date, this refers to a later date.
  • >= (greater than or equal to)
  • like — Here you enter only the first letters. Example: you are looking for someone in the stationsstraat, so you enter 'like stat'. If you do not want to search only on the first letters, you can use the wildcard (*). Example: you are looking for everyone who has 'jan' in their name (Jan, Janssens, Sint-Jan, etc.), so you enter 'like *jan'.

In the second box you state what the selection criterion is. Then choose 'AND' when you perform a selection on more than one field that must meet both conditions. Choose 'OR' when the search must meet only one of the two (or more) conditions. This way you complete the search. Finally, click the 'Search' button at the bottom and you will see a list that meets the chosen criteria.

You can use these searches afterwards, for example to indicate to whom you want to send a particular newsletter.

Example: the search below gives all persons who had their last consultation on/after 31/12/2017, who have postcode 2000 and who have an email address. All these criteria must of course be filled in in the client or person record.

Exporting the result

At the top of the result list you find the export icons (including csv and pdf). With these you download the list straight away. In that export, email address, phone and mobile are only included for the first rows. How many rows that is depends on your personal preference 'Maximum number of search results' (Configuration => My preferences). Users who are not an administrator only see the export icons if the practice preference 'Export accessible to non-administrator' is switched on.

If you search for clients or persons and you are an administrator, you also see the 'CSV contact' export next to them. It contains all rows of the result, with email address, phone and mobile. The file is not downloaded, but is placed in Docu centre => Practice files, with the name of the person who created it and the time. One export can contain a maximum of 10,000 rows. If the result is larger, the export is refused and it is best to refine your search first.

Note: the practice files are visible to all users of your practice, not only to administrators.

Saved searches

To search for one or more saved searches, go to the Configuration tab. In the bar below the main menu you will see a dropdown menu and a search field. First select 'Query', then enter the exact search term(s) or part of the search term(s). You can also use the asterisk (*) in the search term: this gives you a list of all saved searches.

Deleting saved searches

To delete a saved search, go to the Configuration tab as above. Here you can request a list of your saved searches.

Here you get options to delete, activate or deactivate a search.
