To create a new order, go to the Stock tab. Under Actions, select Add order. Check the following:
- Supplier interface — see the article on linking your supplier to Fuga.
- To order — a list of products flagged by stock management as needing reorder, based on product settings (minimum units). Per product you can specify the quantity you want to order. The suggested quantity depends on current stock, any backorders, and the product's Maximum stock setting. If Maximum stock has an invalid value (lower than Minimum stock), this is indicated with a '*' before the product name. You can avoid these invalid values by checking Check maximum stock value under Settings => Practice preferences => Stock.
- Medications to order — subset of the 'To order' list showing all medications.
- Non-medications to order — subset of the 'To order' list showing all non-medications.
- Search — start typing the product name to search and select a product and quantity.
- Browse — search by product type and subtype to narrow down the selection list.
- Order basket — shows the current basket for the active depot per supplier interface. Per row (product) you can remove or view details. Place the order by clicking the 'Place order' link at the top of the basket.
After going through the above, add the product to the basket with the 'Add to basket' button. Note: you will need to repeat this per product, unless you start from the 'To order' mode.
When ordering from Covetrus within Fuga, a numbered order form is automatically created. A separate order form is also automatically created per sub-supplier (e.g. Nerum).
Order on behalf of a client
If you activate the option Order on behalf of a client via Settings => Practice preferences => Stock, you can select a client when creating an order. The order is then linked to that client — useful when a client needs a product that you are ordering specifically for them.
Order via barcodes
You can order products via barcodes. First create labels per product containing the name, minimum and maximum stock, and a barcode for the product's CNK code. This can be done individually in the product file or in batch via the report Active products with CNK under the Stock tab.
Then scan the product in 'Search' mode in the order form. This way you can place product labels in your stockroom and scan them during a stock check to reorder.
Automatically create lots
When you submit an order form, Fuga can automatically create a lot for each ordered product. A lot is an expected delivery: when the goods arrive, you register the receipt immediately without having to create the lot yourself.
Activate this via Settings => Practice preferences => Stock => Automatically create lots for new order forms.
Option on: when saving the order form, Fuga creates a lot per product (supplier, quantity, order date, depot). The lots then appear in the stock overview under expected deliveries.
Option off: the order form remains a document, no lots are created. You can still create lots manually via the product file.
