Appointment confirmation

You can set per client in the client record whether they want to receive a confirmation for an appointment. This can be done by SMS or by email. The SMS option is only shown if the settings for the interface with the SMS gateway have been entered, more info here.

Under Configuration => Practice preferences => Appointment confirmation, the service for sending confirmations by SMS and email is activated and configured. Here you can also set the templates for different types of consultations. Default templates are available for both SMS and email. The client preference will be set as the default for every new appointment, but can be changed per appointment.

If myPets is activated, you will see a second table with the templates (email only) for appointments made by myPets users who do not have an account. The reason separate templates are used for this is that these templates include a link with which the unregistered user can view and optionally cancel their appointment.

The appointment form also shows how a confirmation was sent to the client and what the outcome was. If errors occur, they can be found here. Examples of an error: a shortage of credits at the SMS gateway, the lack of a template for this type of consultation, etc.

If you change the appointment afterwards and you work with the 'Nova' calendar, you indicate yourself whether you want to resend the confirmation or not. If you drag the appointment within the calendar, you will be asked whether a confirmation should be sent again (since the time has changed anyway), assuming you have enabled either email or SMS as the communication method for appointment confirmation.

If you work with the 'Classic' calendar, when editing the appointment the preference of the associated person is loaded automatically. If the client wants to be notified by email by default, for example, Fuga will send a new email.

Appointment cancellation

When you delete an appointment or set its status to Cancelled, Fuga can send the client a cancellation message. This also applies when the client cancels an appointment themselves via myPets.

Since the September 2026 release, this cancellation message is only sent if a confirmation was sent earlier for that appointment, and through the same medium as that confirmation. If the confirmation was sent by email, the cancellation follows by email. If it was sent by SMS, the cancellation follows by SMS. If no confirmation was sent for the appointment, the client does not receive a cancellation message either. The appointment form shows whether and how the confirmation was sent.

If a cancellation cannot be sent by SMS, for example because SMS cancellation is not active or there is no SMS template for the client's language, Fuga sends it by email instead, provided email confirmations are enabled (except for appointments booked via myPets) and the client has an email address.

You set the templates for cancellation messages under Configuration => Practice preferences => Cancellation appointment. There is one template per language for all appointment types, for both SMS and email. For cancellations by SMS, also tick Active there.

Appointment reminder

You can set per client in the client record whether they want to receive a reminder for an appointment. This can be done by SMS or by email. The SMS option is only shown if the settings for the interface with the SMS gateway have been entered, more info here.

Under Configuration => Practice preferences => Appointment reminder, the service for sending reminders by SMS and email is activated and configured. Here you can also set the templates for different types of consultations. Default templates are available for both SMS and email. The client preference will be set as the default for every new appointment, but can be changed per appointment.
