There are various ways to reconcile your invoices and receipts (mark them as paid).
Manually
The Invoices and Unpaid invoices/receipts reports under the Accounting tab give you an overview of all invoices that can still be reconciled. You reconcile an invoice with the 'Mark as paid' icon (
) in the row of the correct invoice.
Via CODA files
If you can download CODA files from your bank, you can use them to reconcile the invoices/receipts automatically in Fuga, provided that you use structured communications. You can find the option to have structured communications generated under Settings => Practice preferences => Documents.
You can then have Fuga process the CODA files with the Upload and process CODA file action under the Accounting tab. A CODA file usually has a .COD extension. You can also upload the CODA files as a zip file, so several .COD files at once.
Payments that are imported via this file will have the word 'CODA' in the payment note. There is no risk that uploading the same CODA file leads to duplicate registrations of payments.
This function is completely separate from the integration with CodaBox and can be used by anyone.
Via CAMT.053 file
If you can download CAMT.053 files from your bank, you can also use them to reconcile the invoices/receipts automatically in Fuga. Fuga matches the payment on the structured communication. If the customer did not use a structured communication but typed the structured communication or the invoice number (with or without prefix) in the free-text message, the payment is matched to the invoice as well.
The Upload and process CAMT.053 file option works in the same way as importing a CODA file. However, you can only upload 1 file at a time. Imported payments get the mention 'CAMT.053', followed by what the payment was matched on (for example 'CAMT.053 matched on: SI2026.000251'). Here too, uploading the same file again does not lead to duplicate registrations of payments.
CodaBox or Expert-M
If you have the module for accounting export to CodaBox or Expert-M, it is possible to reconcile the invoices via CodaBox or an export from Expert-M.
Read here more about the accounting export.
What if you have indicated that the client paid too much?
It can happen that too much is paid on an invoice/receipt, for example by entering an advance and not correcting it at settlement. These cases are indicated in Fuga with the status 'Overpaid'.
You can then look up these cases with the Overpaid invoices/receipts report. The same can be done for credit notes (Overpaid credit notes) and payment reminders with file costs (Overpaid payment reminders (file costs)).
