Stock Requests 

Stock requests keep track of products that need to be ordered for a customer. This feature is especially useful to handle products that cannot be ordered through a supplier interface. 

The new concept, Stock Request, allows users to create a simple list of products to be ordered, mark items as ordered, and organise product requests in a structured way.


What Is a Stock Request?

A stock request item is an entry representing a need for one or more products. It does not have its own dedicated screen but appears in a consolidated list under the new Stock Request report. Each item contains essential information to track ordering needs.


Attributes of a Stock Request

Each stock request item contains the following information:

SupplierOptional supplier reference.
ClientOptional link to a client, used when products are needed for a specific customer.
RemarksOptional free text (max. 255 characters) used for product name, order number, or other notes.
StatusMandatory. Possible values: To order or Ordered.
Date addedMandatory date when the request was created.
Date orderedOptional date when the product was ordered.


Adding Stock Request

Add Product to Stock Request

You can add a stock request item directly from the product list. A new button Add to stock request is available next to the product or at the top of the product list.

Selecting this button opens a form with the following fields:

ProductPre-filled with the selected product, but can be emptied.
Number of productsOptional quantity.
ClientOptional client link. When opened from a client, this field is prefilled and not editable.
SupplierOptional supplier selection.
RemarksOptional free text (max. 255 characters) for product name, order number, or additional notes.


Saving the form creates a stock request item with:

  • Status = To order
  • Date added = today
  • Date ordered = empty


Add Product to Stock Request for a Customer

From the client view, you can add a new stock request specifically linked to a customer.

The form fields are similar, but:

  • Client is prefilled and not editable.
  • Product can be selected or left empty.

Saving the form creates a stock request item as described above.


Stock Request Report

A new report Stock Request is available under Ordering and Deliveries on the Stock tab. This report shows all stock request items per depot. 

Filtering

It is possible to filter the list on the status of the Stock Request by choosing the status at the top of the list.

It is also possible to filter the list by typing in the search box. Only items that match will be shown.


Columns in the Stock Request Report

The report includes the following fields:

  • Product name
  • CNK code
  • EAN code
  • Number of products
  • Supplier
  • Client
  • Status
  • Date added
  • Date ordered
  • Remarks


Available Actions

For each stock request item, the following actions are available:

Toggle Ordered / To orderOrdered sets status to Ordered and fills Date ordered.
To order sets status back to To order and clears Date ordered.
EditOpens the form to update product, client, supplier, remarks or quantity. The edit is started by clicking on the line. There is no pencil.
DeleteRemoves the stock request item. Deleted items cannot be recovered.
Create new stock request itemA command to add a new item directly from the report.


Usage Notes

Stock requests were created in a new and modern GUI different from the rest of Fuga. This enables new options in interacting with the users.


Stock request items do not replace the existing product ordering lists for suppliers with integrated interfaces (Royal Canin, Covetrus Netorder). They complement them by offering flexibility for practices that:

  • need a simple shopping list,
  • order products outside the integrated supplier process,
  • need to record requests for specific customers.


This new concept provides a clear, structured and simple way to follow up product needs throughout the practice.
