Only an administrator can add and manage staff members.
Fuga distinguishes between two things:
- the co-worker: the record with the person's name, role and details;
- the account: the FU username the person logs in with.
An account is linked to a co-worker. You manage both via Configuration => Practice data, tab Co-workers and accounts. The Co-workers section is at the top, the Accounts section below it.

Replacing a staff member
Is a new staff member taking over from someone who is leaving? Then you reuse the existing account. You can do all of this yourself.
- In the Accounts section, click the pencil next to the account and choose '-' instead of the staff member who is leaving. The account is now free.
- In the Co-workers section, click the cross in the action column next to the staff member who is leaving. This puts them on standby. The record is kept, and so is all their history.
- Click the large '+' at the top of the Co-workers section and fill in the new staff member's details. There is no limit on the number of co-worker records.
- In the Accounts section, click the pencil next to the freed-up account again and choose the new staff member.
- Reset the password with the circular arrow next to the account (see Setting a password).
Note: never edit the record of the staff member who is leaving (name, details) to reuse it for the new staff member. All their past consultations, sales and communications would then appear under the new staff member's name.
Adding an extra staff member
Is someone joining the team (so not a replacement)? Then an extra account is needed. Please contact us for this. We adjust your subscription plan and create the new account.
Once the account exists, you do the rest yourself:
- Click the large '+' at the top of the Co-workers section and fill in the new staff member's details.
- In the Accounts section, click the pencil next to the new account and choose the staff member you just created.
- Set a password with the circular arrow next to the account (see Setting a password).
Setting a password
In the Accounts section, click the circular arrow next to the account to reset the password. The staff member can then choose their own password: after logging in, they click their own name in the top-right corner of Fuga.
Granting or removing administrator rights
A new account has no administrator rights by default. In the Accounts section, click the pencil next to the account and tick or untick the Administrator box. Only an existing administrator can do this.
Making the staff member visible in the agenda
To see the new staff member's agenda, select their name in Configuration => My preferences, tab Agenda.
This is a personal setting. Every user who wants to see the new staff member's agenda has to turn it on in their own preferences.
Does your practice use myPets for online appointments? Then also open appointment slots for the new staff member. The steps are explained in Public agenda for online appointments.
When a staff member leaves (temporarily)
Is a staff member leaving temporarily or for good? Then follow the step-by-step plan for a staff member's temporary departure.
