Below are the possible parts of an invoice number in Fuga:
- The prefix makes it easy to tell your invoice numbers apart from, for example, consultation numbers. The prefix is a free combination of letters.
- The year is the financial year, which can differ from the current calendar year. Your financial year will run half a year behind, for instance, if it starts in the middle of the year.
- The sequence number is based on the current last number in the invoice numbering with the same prefix (and financial year, if used) + 1. You can raise this number yourself to a specific value by temporarily setting the invoice numbering to manual and choosing a specific number for an invoice. Read more about manual invoice numbering below.
Note: the method below is specifically about sales invoice numbering, but you can use the same approach for any numbering.
Fuga's invoice numbering works based on the option chosen under Configuration => Practice preferences => Numbers. You can choose from the following options:
- Prefix, year and sequence number - This consists of three parts: the prefix, the financial year and the sequence number, separated from the first two parts by a dot. This is the only option that lets the numbering restart automatically when the financial year ends, which happens in the month set under Configuration => Practice data, tab Bookkeeping. Example: SI2020.001010, where SI is the prefix, 2020 the year and .001010 the sequence number.
- Prefix and sequence number - This consists of two parts: the prefix and the sequence number, separated by a dot. Example: SI.001010, where SI is the prefix and .001010 the sequence number.
- Manual - This option is free in structure and the invoice number must be entered for each invoice individually. If a mistake occurred in the numbering (gaps in the numbering), you can use this function to renumber invoices manually and close the gaps. To do this, temporarily set the invoice numbering to manual and give the next invoice you create the number of the gap. You will need to enter this invoice number when creating the invoice. You will find all the steps and restrictions in the article Gaps in the invoice numbering: prevent, check and fill.
- Important: keep to the numbering format used before. The sequence number must consist of six digits.
