There is an obligation to register antibiotic use in certain animal species in a central database, see among others here.
You can do this registration directly from Fuga, and it works as follows. You can activate the registration by ticking Configuration => Practice preferences => Belgium tab => Sanitel-Med. You then fill in your Sanitel-Med username (in the form N1234), password and code (in the form BE12345678) under Configuration => My preferences => General.
Next, in the animal record under 'Sanitel-Med category' you will see the following options:
- Chick
- Goat
- Laying hen
- Unweaned piglets
- Weaned piglets
- Sows/boars
- Fattening pigs
- Veal calves
- Adult dairy cattle
- Adult beef cattle
- Young bovine (8 to 24 months)
- Calf (< 8 months)
Per animal (group) you can indicate the primary category and which categories are also present in the herd.
In the product record you fill in the product's 'Cti-ext code'. A list is available here. Also check in the product record that the 'Number of outgoing units per product' is filled in correctly, for example 100 for a 100 ml bottle. How Fuga reports the quantities to Sanitel-Med is explained further down under 'Quantities: ml/g or packs'.
It is also best to check once whether the herd numbers of the clients are filled in. These are needed for Sanitel-Med and must be presented in the format BE12345678 (Fuga does try to get the number right if the 'BE' prefix is missing or if there is an animal-species suffix present).
So how does it work?
Behind the scenes, Fuga keeps a list of outgoing products that must be reported to Sanitel-Med. An outgoing product will be added to this list if the product has a cti-ext code, if the animal has a 'Sanitel-Med category' specified, and if the herd number is specified.
The only thing you need to do at the end of the month (or the quarter) is go to To be submitted to Sanitel-Med and press 'Send to Sanitel-Med' to register the outgoing products with Sanitel-Med. Note that you should be sure to add a TVD in the corresponding consultation. You can also remove outgoing products from the list.
Sending a large batch can take a while, because Fuga sends each consultation to Sanitel-Med separately. While it is sending, Fuga shows a moving progress indicator with the message "Sending may take a while; do not close this window and do not press send again." Wait until the sending has finished, and do not open the list again in another window or tab in the meantime. That way you avoid lines being registered twice in Sanitel-Med.
Via the report Submitted to Sanitel-Med you can also request a list of supplied products you have already registered with Sanitel-Med.
Quantities: ml/g or packs
Fuga declares the supplied quantity to Sanitel-Med in ml or g when both of these conditions are met:
- the product's outgoing unit has a metric unit (g or ml), set in Configuration => Practice data => Stock tab (see below)
- the product has a CNK code and the FAMHP product list expects the same unit (ml or g) for that product
In all other cases, Fuga declares in packs: the supplied number of outgoing units divided by the 'Number of outgoing units per product'. For example, if you supply 30 ml from a 100 ml bottle, that becomes 0.3 pack. A product with 0 as 'Number of outgoing units per product' is not sent.
This is the same rule as for VAMREG: both use the FAMHP product list.
Setting the metric unit
Go to Configuration => Practice data => Stock tab. In the list of product units, you can link each unit to a number and a metric unit (g or ml) in the 'Metric unit' column, for example "kg" = 1000 g or "0.1ml" = 0.1 ml. For the common units (cc, 0.1 ml, kg, ml) this was filled in automatically. Units without a metric unit, such as "tablet" or "piece", are still declared in packs. More information is in the article Practice data.
