How does receiving Covetrus deliveries work?
When you retrieve deliveries in Fuga, Fuga requests all deliveries from the past 31 days from Covetrus. For each delivery, Fuga tries to find or create the correct product and batch.
This happens in several steps:
- Fuga checks if there is an open order placed via Fuga, based on the article number and reference number. If found, the batch is linked to it.
- If the delivery date falls before the configured "Ignore deliveries before" date (see below), the delivery is skipped.
- Fuga checks if a batch with the same delivery number already exists. If so, the delivery is considered already received and is skipped.
- If no batch has been found yet, Fuga searches for the product in your product list:
- First by exact product name (the "long description" from Covetrus is compared with the names of your active products).
- Then by mapped names (name mappings you have set up previously).
- If the product is not found, Fuga creates an "insufficiently described product" — see below how to resolve this.
Common problems
Deliveries that keep reappearing
Covetrus sends all deliveries from the past 31 days with every retrieval, including deliveries you have already loaded. After 31 days, they are automatically archived and disappear from the list.
You don't need to do anything. Fuga recognises deliveries that have already been loaded and does not create duplicate batches. The delivery does keep reappearing in the overview until the 31 days have passed — this is normal and can safely be ignored.
Don't want to see these old deliveries anymore? Set the "Ignore deliveries before" date (see below).
The wrong product is received
This happens when the name sent by Covetrus is mapped to the wrong product in Fuga. Check the product's name mappings:
- Open the product in Fuga (Stock => search for the product).
- Go to the Name mappings tab.
- Check if the Covetrus name is listed there and remove the incorrect mapping or assign it to the correct product.
A product is missing from the delivery list
Possible causes:
- A batch with the same delivery number already exists — Fuga considers the delivery as already received. You can create the batch manually in this case.
- The delivery falls before the "Ignore deliveries before" date set in your practice preferences. Adjust the date or remove it (see below).
A new product is created even though it already exists
This happens when the existing product is not active in the depot you are importing into. Check that the product is active for the correct depot:
- Open the product in Fuga.
- Check that the product is active ("Active" checkbox) and that it is linked to the depot in which you receive the delivery.
Insufficiently described products
If Fuga cannot match the delivered product to an existing product, an "insufficiently described product" is created. These are temporary products that you need to merge with the correct existing product.
Go to Stock => Insufficiently described products. There you will find the list of insufficiently described products. For each product, you can merge it with an existing product by clicking "Merge" and selecting the correct product. After merging, Fuga remembers the link, so future deliveries of the same product will automatically be recognised correctly.
The "Ignore deliveries before" setting
This setting allows you to hide old deliveries from the overview. All deliveries with a delivery date before the configured date are skipped and no longer displayed.
You can find this setting via Settings => Practice preferences => Stock => "Ignore deliveries before".
This is especially useful if you have just started the Covetrus integration and the list is full of old deliveries that you no longer need to load. Set the date to today, and only new deliveries will be shown.
You can adjust or clear this date at any time.
The "Ignore delivery" setting per product
In addition to the global date setting, you can also indicate per product that deliveries should be ignored. Open the product in Fuga and tick "Ignore delivery". Deliveries of this product will then no longer be shown when retrieving Covetrus deliveries.
