It is important to know that reminders are linked to protocols in Fuga. So if you apply a protocol in a consultation, it will be tracked in the background whether/when the animal needs to be treated again. You enter the specifications in the protocol record. In other words: if you apply a protocol of the type 'Contraception', 'Vaccination', 'Product treatment' or 'Other treatment' in a consultation for a certain animal, a treatment status is automatically created for this animal. Read how to add a protocol here.
Based on that treatment status, you can have the reminders sent automatically by email or create them yourself via the Expected treatments report. This report gives you an overview of all treatments that need to be carried out within a specified period. So when an animal was, for example, vaccinated on 1/5/2018 and needs to be vaccinated again on 1/5/2019, the animal will appear in the report when the specified period includes 1/5/2019. Here you can also indicate whether you want to remind the myPets users again. This is only possible for those who prefer to be reminded by email.
You click the @ for email, the envelope if you want to send letters by post, or the speech bubble for SMS. By default, the clients who have indicated that they want to receive written communication by post or by email will be selected. Those preferences will also be visible in the overview through the green background on the above icons. Of course, you can also perform these actions manually per client.
Fuga contains a number of reminder letters by default, but here you can create your own variant via a new template. Read how to create such a new variant of a template here. Per protocol you can indicate which reminder letter should be used.
In the animal record (under 'Treatment status') you can also manually change or create the treatment status of an animal. In case you create one, you add a protocol but no products are taken out of your stock.
There is also the option to no longer display the expected treatments for animals whose owner has activated myPets. That option exists because they are already notified via myPets. This happens every evening at 20h30, 14 days before a vaccine needs to be renewed and 2 days before a product warning. MyPets users who have indicated in their record that they want to receive reminders by email are also automatically emailed at this time.
For which animals do clients receive reminders?
All animals that have the status 'Normal', 'Normal 2' or 'Normal 3' receive reminders. Via the myPets application, the owners of those animals automatically receive a reminder, whereas otherwise you can send the clients a reminder by email or post via the Expected treatments.
Possible problems you may encounter:
We use Mailgun as our email server, and this requires a certain underlying configuration in the application's code. In exceptional situations it can happen that you get the following error message when you send the vaccination reminders:

Recalculating expected treatments
From the tab Consultation => Actions (Show all Actions), you can recalculate the expected treatment date under the menu 'Appointments'.
Note: reminders that would fall in the past after recalculation are scheduled for the day of recalculation + 14 days.
